Prices include and exclude all expenses as outlined in the itineraries or invoice. All prices are subject to change without notice until a booking is confirmed with the required deposit. Sunbelle Adventures reserves the right to adjust prices due to changes in park fees, government taxes, fuel levies, or currency fluctuations. Any such changes will be communicated to the client promptly.
Transportation, transfers, excursions and tours shall be by our safari vehicles which include 4x4 wheel drives, safari mini vans, saloon cars, trucks or shuttle buses, or as per the booking made. Sunbelle Adventures operates with a maximum of 6 guests per guide vehicle to ensure an intimate and exclusive experience.
A minimum deposit of 30–50% of the total safari cost (as discussed and agreed upon) is required to confirm and reserve a booking, subject to availability of accommodation and transport. International travelers must make their reservations at least 1 month prior to the date of travel and must clear their outstanding balances on arrival in cash or by bank deposit, unless otherwise agreed in writing.
All safaris must be fully paid before commencement. All travelers must pay their deposits and balances only to the authorized company accounts. Any payment made outside these accounts must be authorized in writing and approved by company management via official communication channels. Sunbelle Adventures will not be liable for payments, offers, or agreements made outside official accounts by persons other than company directors. All payments must be receipted — please request your receipt/invoice. Company currency exchange rates apply at all times.
Sunbelle Adventures accepts payment by bank transfer, mobile money (M-Pesa), and other methods as communicated at the time of booking. Any transaction charges are the responsibility of the client.
Unless the safari is private, clients will share safari facilities with others. Clients are advised to be good-natured and respectful of fellow travelers. Be prepared to encounter customs and habits different from your own — this forms part of the adventure. Sunbelle Adventures reserves the right to decline or remove any client whose behavior is disruptive or harmful to other guests, guides, or wildlife.
Sunbelle Adventures offers safaris across Kenya, Tanzania, Uganda, and Rwanda. For cross-border safaris, clients are solely responsible for ensuring they hold valid travel documents, visas, and any entry requirements for each country visited. Sunbelle Adventures is not liable for costs arising from a client's failure to obtain the necessary documentation.
Clients are required to disclose any pre-existing medical conditions, disabilities, or dietary requirements at the time of booking. Sunbelle Adventures will make reasonable efforts to accommodate such needs but cannot guarantee suitability for all itineraries. It is the client's responsibility to consult a medical professional regarding required vaccinations (e.g., Yellow Fever) and health precautions prior to travel. Personal medical insurance and costs arising from medical conditions during the safari are not covered by Sunbelle Adventures unless otherwise stated and included in the package.
The sequence of itineraries is normally adhered to but the company reserves the right to make alterations occasioned by weather, road works, high season congestion or any other unforeseen circumstances. Any alterations by the clients to the agreed itineraries should be done in the office. The company shall not be held liable for any complain arising out of changes made between the client and the safari guide out of the office. All changes must be informed to the office.
All clients are strongly advised to obtain comprehensive travel insurance prior to travel, covering trip cancellation, medical emergencies, evacuation, loss of luggage, and personal liability. Sunbelle Adventures will not be held responsible for any costs incurred due to the absence of adequate travel insurance.
In case a client wishes to cancel or postponed their booking, the following cancellation & postponement policies shall apply;
2 weeks before date of travel - 100% refund less transaction charges
Less than 2 weeks before date of travel - 50% refund less transaction charges
No show and less than 1 week before date of travel - No refund.
1 month before date of travel - 100% refund less transaction charges
2 Weeks to the date of travel - 50% refund less transaction charges
Less than 2 weeks and No show - No refund
Please note: Peak season bookings, flights, SGR train tickets, and gorilla/chimpanzee permits are subject to the respective third-party cancellation policies, as detailed below.
For bookings made during peak seasons (or periods where accommodation and transport availability is limited), and where Sunbelle Adventures has already made payments to secure reservations, the cancellation and refund policies of the relevant third parties — including hotels, lodges, and transport providers — will apply. Refunds will be processed in accordance with those policies.
For bookings inclusive of flights or SGR train tickets already purchased, the cancellation policies of the respective airline or train operator will apply. Refunds, where applicable, will be issued in accordance with those policies.
Gorilla trekking and chimpanzee tracking permits (Uganda, Rwanda) are non-refundable once purchased, in line with the policies of the relevant national park authorities. Clients are advised that these permits are a significant portion of the safari cost and are strongly encouraged to take out travel insurance covering permit forfeiture.
Cancelations and postponements forced by matters beyond individual human capacity such as government restrictions and regulation, outbreak of diseases, war and any other thing will be treated as special cases case by case and accordingly to reservations already made.
Refunds: Once a refund amount is agreed upon in accordance with the applicable cancellation policies, the refund process will be initiated and may take up to a maximum of 60 working days. Sunbelle Adventures will endeavor to process refunds as promptly as possible.
Credits: Cancelled or postponed bookings agreed to be held as credit will be valid for up to 1 year, or as otherwise agreed, and subject to third-party partner policies on credit where applicable. A credit note will be issued indicating the agreed credit period and details. Bookings cancelled or postponed without an agreed credit timeline will be valid for 3 months, after which the credit will be deemed expired. Credit notes cannot be redeemed as cash, nor transferred to other guests by the company, except at the client's request to guests known to the client.
Photography & Privacy: Client’s consent to Sunbelle Adventures using photographs or videos taken during their safari for marketing and promotional purposes, including on the website and social media, unless a written objection is submitted prior to or at the commencement of the safari. Sunbelle Adventures will not use images that identify individual clients without their explicit consent. Clients are advised to respect the privacy and cultural sensitivities of local communities encountered during the safari.
Wildlife & Safety: Safari activities take place in natural wilderness areas where wild animals are present. Clients must at all times follow the instructions of their safari guide. Sunbelle Adventures accepts no liability for injury, loss, or death resulting from a client's failure to follow safety guidelines. Behavior that endangers wildlife, other guests, or guides may result in immediate removal from the safari without refund.
Liability; The company's liability to passengers carried in vehicles for transfers, excursions, and tours is governed by the laws of Kenya, and all claims are subject to the jurisdiction of Kenyan courts. Whilst every care is taken, Sunbelle Adventures shall not be held liable for loss or damage to personal property. Clients are advised to arrange relevant insurance and take care of their belongings at all times.
Sub-contracting; Sunbelle Adventures reserves the right to subcontract any part or the entirety of a safari. In the event of such subcontracting, all the above terms and conditions shall apply in full.
Complaints: Any complaints arising during a safari must be reported to the safari guide and the Sunbelle Adventures office immediately, so that remedial action can be taken promptly. Complaints submitted after the conclusion of the safari will be considered but may be limited in resolution. Written complaints should be submitted within 14 days of the safari's conclusion.
Governing Law: These terms and conditions are governed by and construed in accordance with the laws of Kenya.
